How this website handles your details
This notice covers the OneRubric website and its contact form. Data inside the product, for an institution that uses OneRubric, is covered by that institution's agreement with us.
What we collect
When you send the contact form, we receive:
- your name, work email address and role;
- your institution and country;
- what you are asking for (a demo, early access, a quote or the security document);
- anything you choose to add: an approximate student count, how you run evaluations today and your message.
Like most websites, our servers also keep technical logs of each request, such as the IP address, the page requested, the time and the browser type. The website does not use advertising or analytics cookies or trackers.
Why we use it
We use what you send in the form to reply to your request and to keep a record of the enquiry while it is open. We do not add you to a newsletter or a mailing list, and we do not sell your details.
We use server logs to keep the site running and to stop abuse, for example to limit how often the contact form can be sent from one network.
Where it is stored
The website and its database run on Railway, in the europe-west4 region in the Netherlands (EU). Enquiries are stored in that database.
Who processes it for us
- Railway, which hosts the website and its database (EU).
- Resend, an email delivery service, once email sending is enabled on the website. Notifications about new enquiries, and emails we send from the website, then pass through it.
How long we keep it
We keep an enquiry for as long as we need it to answer you and follow up on it. You can ask us to delete yours at any time through the contact form, and we will. Server logs are kept by our hosting provider for a limited period and are used only to run and protect the site.
Your rights
You can ask for a copy of the details we hold about you, ask us to correct them or delete them, and object to how we use them. Send your request through the contact form and say what you would like in the message; we will reply by email. If you are not satisfied with our answer, you can complain to the data protection authority in your country.
If your institution uses OneRubric
Students' ratings and comments, staff accounts and everything else inside the product are processed under your institution's agreement with OneRubric. That agreement, not this notice, sets out what is processed, where and for how long. Questions about it are best sent to your institution first.

We update this page when what we collect, or who processes it, changes. Last updated 4 October 2026.
